Bulk Cotton Wiping Rags: An RFQ and Sample Approval Checklist
A practical procurement checklist for buying cotton industrial wiping rags in bulk: composition, cloth construction, cut sizes, approved samples and shipment acceptance.
Buying industrial cotton wiping cloths by the kilogram is straightforward only when both buyer and supplier mean the same thing by “cotton,” “cut size,” and “packing.” A sample that works well for one machine-maintenance task may be unsuitable for another task that requires very low lint or a tightly controlled fibre composition.
This checklist is intended for industrial buyers, distributors and importers comparing repeat-order supply. It is a purchasing framework, not a promise that every listed specification is available for every product grade.
1. Define the wiping task before requesting price
Tell the supplier whether the cloth is intended for oil, grease, water, cutting coolant, general machine maintenance or contact with finished parts. Describe the surface: rough machine beds and appearance-sensitive components have different requirements.
- What liquid or residue needs to be removed?
- Will the rag be used once or repeatedly?
- Is lint acceptable, or should the proposed cloth be tested for particle release?
- Will the cloth be handled dry, wet or with a cleaning solvent?
Start with the JETESO cotton wiping cloth product page and confirm suitability for the actual process.
2. Distinguish 100% cotton from polyester-cotton blends
“Cotton wiping cloth” can be used loosely in purchasing conversations. If a contract requires 100% cotton with no elastane or other blended fibres, write that requirement explicitly in the RFQ and request appropriate verification for the selected grade. Do not infer fibre composition from colour, hand feel or a product photograph.
A polyester-cotton wiping cloth is a different material class. Its strength, absorbency and cost must be assessed independently; it should not be substituted into a 100% cotton order without buyer approval.
3. Specify construction and cutting
Knitted and woven constructions behave differently when stretched, handled wet or used around machinery. Ask whether the selected material is knitted or woven. For cut-format quotations, common starting points include 30 × 40 cm and other agreed sizes, subject to the available fabric and order requirements.
- State the target length and width and whether tolerance is permitted.
- Clarify natural or irregular cuts versus more regular precision cuts.
- Agree whether hems, seams, labels or protruding hardware are acceptable.
- State whether thickness or GSM is part of the acceptance standard; confirm the exact grade rather than using a generic number.
4. Write the packing requirements into the purchase order
An industrial buyer should request a sample of the finished packing as well as the fabric. Typical options may include net-weight PP woven bags or compressed packs, depending on the selected product.
For example, if a 10 kg bag is needed, specify whether 10 kg refers to net textile weight and how each bag should be identified. Confirm pallet use, bag identification, shipping marks and any country-specific documentation separately.
Do not assume that the supplier’s default bag is the best format for your warehouse or downstream distribution.
5. Approve a representative sample and batch standard
Compare the sample against your actual cleaning task. If composition is contract-critical, use suitable testing or documentation. If exact colour, dimensional uniformity or lint levels matter, describe how those attributes will be checked.
A useful order confirmation records:
- Approved sample or reference-batch identification
- Fibre-composition requirement and evidence, where relevant
- Colour, construction, target size and permitted variation
- Packing net weight and labelling
- Quantity, destination, Incoterm and inspection or acceptance points
6. Compare quotations on the same basis
A price per kilogram alone can hide differences in sorting, cutting, packing and tolerance. Ask each potential supplier to quote against the same written specification, and compare the landed cost and expected consumption per cleaning task rather than only the headline unit price.
Example: turn a cotton rag request into an order-ready specification
JETESO's cotton and textile wiping route includes material selection, cutting and weight-based packing. A buyer should treat the points below as an illustrative RFQ format rather than an automatically available standard grade.
- Product route: new cotton wiping fabric, not reclaimed clothing; ask for the selected knitted or woven construction.
- Fibre requirement: specify whether cotton content must be 100% and whether elastane or any other fibres are prohibited; agree appropriate verification where contract-critical.
- Cut format: state 30 × 40 cm, 40 × 60 cm or another practical size, subject to the actual material and approved cutting tolerance.
- Packing: request a confirmed net-weight bag such as 10 kg, with the PP bag specification, labels and pallet requirement agreed in writing.
- Approval reference: record the approved fabric sample, colour range, cut method and any acceptance tests.
- Commercial terms: confirm estimated quantity, repeat-order frequency, destination, agreed Incoterm and any shipment evidence needed.
For example, the request "white cotton wiping rags for machinery" is too broad to compare fairly against quotations for mixed-colour or blended textile grades. The more useful request is "new white knitted cotton wiping cloth, cotton composition to be verified against the approved grade, target 30 × 40 cm cuts, 10 kg net-weight bag, sample approval before the first bulk order." Final size, grade and packaging depend on the actual production order.
What JETESO can document before bulk shipment
Our cotton wiping cloth supply workflow can involve the confirmed material grade, cutting and packaging instructions, plus product and packing photographs at the agreed checkpoints. Buyers who need composition testing, a particular packing standard or additional inspection should specify these before quotation.
For bulk orders, useful visual evidence includes the selected cotton grade, finished cut pieces, and weight-packed bags. A polyester-cotton image does not prove a 100% cotton composition. Buyers should match every photo or reference sample to the exact quoted grade and batch.
RFQ information to send JETESO
Share the intended use, approved or current wiping sample, fibre requirement, colour, construction, desired size, packaging, estimated monthly volume and destination. JETESO can then review an appropriate material and supply route, subject to sample and order confirmation.
